Hedin Automotive Oy (formerly Laakkonen) has been a long-term client of Roger Studio. In 2021, they sought to update their marketing automation tools. Previously, they used Roger's proprietary iSteer Dialog tool, which had reached the end of its lifecycle. Hedin Automotive began exploring new tools, and HubSpot was chosen as the most suitable solution, based on Roger Studio's recommendation.

The implementation project was quickly initiated, and diverse integration solutions were seamlessly incorporated into the client's processes. Roger Studio successfully transitioned the long-standing marketing tool to a new system. This solution has proven to be highly effective in the automotive industry, where there is a need to connect with various systems such as Trafi or Automaster. Simultaneously, Roger's experts began assisting the client with business development challenges.

Old System Reaches Its End

The project began in the fall of 2021. “Roger had been working with us even before I came on board,” says Eetu Raunio, Head of Digital at Hedin Automotive. “We needed to update our customer marketing tools. The 'best before' date of our previous systems had already passed. We chose Roger Studio and HubSpot from among several system provider and integrator candidates because HubSpot is better suited for a company of our size. Additionally, the strong recommendation from our long-term partner Roger, who understands the automotive industry, was a factor. Roger builds solutions on top of various technologies, and HubSpot was chosen for its excellent integration capabilities. It was also interesting that transitioning to HubSpot forced both Hedin and Roger to rethink processes and find smarter ways to do things. I believe that if we had used another tool, the project would have been three times longer and more expensive. With HubSpot and Roger's experience, implementing new solutions is faster and easier,” Raunio says.

The Jungle of Systems in Sales and Marketing

The customer's operational environment was complex and challenging. HubSpot is well-suited for integration into such an environment, and Roger Studio is experienced in system integration. “A complex environment is not a problem; rather, it’s the normal starting point,” says Jaakko Kievari, the Director of Client Services at Roger. “During the implementation, we made the necessary integrations with other systems and ensured that data models kept the required information continuously up-to-date and easily accessible in HubSpot.”

In automotive retail, there are many dependencies on various data sources (e.g., Trafi, the Digital and Population Data Services Agency, and other systems related to car maintenance and sales). Therefore, the customer had already been using Roger’s Customer Data Mastering service (CDM). Roger designed the HubSpot implementation so that the CDM system continued to maintain data quality, and the old email marketing was transformed into a modern, multichannel customer communication platform within HubSpot. Additionally, old marketing programs were transferred to the new system as appropriate, and the customer's own staff was trained to create, monitor, and modify marketing programs. In the new setup, different digital channels can also operate within a unified, integrated system, simplifying and accelerating collaboration between various marketing partners.

As a minor complication, Laakkonen changed ownership during the project. The brand and visual identity update was surprisingly smoothly accomplished through the new system: HubSpot facilitated the consolidation of brand elements into a single location, from which they could be easily updated across all marketing materials.

Expertise in the Automotive Sector is Crucial

HubSpot implementation projects are not exceptionally large. However, customer and event data in the automotive industry is distinct and somewhat more complex than for typical HubSpot clients. For instance, there are multiple customer levels: car owner, holder, user, and the car itself. Cars themselves are almost like custom clients with a range of detailed information, the use of which in marketing programs enhances the marketing experience.

The surrounding system and data infrastructure is also highly complex. For example, the sales and service system is Automaster, from which data is transferred to a data warehouse and then to HubSpot, due to Automaster’s limited integration capabilities. "More data comes from Automaster for marketing use than the other way around," says Raunio. "Bidirectional integration between systems is often essential, meaning that information also flows from marketing to sales teams." A well-functioning marketing automation system is not an isolated entity but rather part of the company's overall customer management infrastructure.

Although data quality and consistency are simpler in the HubSpot world compared to many other systems, Roger's expertise in the automotive sector was extremely beneficial. "It is also important for us to have access to HubSpot specialists. They are available through various providers because working with HubSpot is easier, especially in creating messages, compared to systems like Adobe Marketing Cloud. Audience targeting, which is crucial for automation, is significantly simpler than in other solutions," Raunio says.

Harmonizing Data and Technology Brings Many Benefits

To facilitate data use, Roger Studio has implemented processes that enhance data integrity and usability. "A fully automated system continuously parses data from various sources into a higher-quality data source in the background. Clients inevitably have multiple systems for different purposes. Such a development project is fundamentally about organizing data and integrations to ensure ease of use and better service for the end customer," says Roger Studio's HubSpot consultant, András Lehtinen.

After the update, Hedin Automotive can utilize Roger's expertise for more strategic marketing and development efforts. This is because the client can now operate the system more easily on their own, reducing the need for external support for operational tasks.

Raunio sees high-value development projects in areas such as data acquisition. This includes finding new data sources that facilitate customer work, understanding how to connect to them, how data collection practically occurs, and whether collection can be automated. Another example Raunio provides relates to marketing and its development: assessing whether the entire customer relationship program is effective, identifying any deficiencies, and figuring out how to address these issues.

”More brainwork and less manual labor" is, in Raunio's view, a key focus for development with Roger. With operations now running more smoothly, there's more room to concentrate on strategic thinking.

"Our marketing team has also shrunk for various reasons. However, with Roger's help, we can still achieve the same amount of work as before, without extra effort," says Raunio. "This is largely because HubSpot's configuration for various marketing programs is so easy that we rarely need system experts. This is crucial, as the development of our marketing and sales environment is rapid, and we need to keep up with the changes.”.

Ease of Use with HubSpot Elevates Marketing Quality

The speed and simplicity of content management and target audience selection directly enhance the quality of communication. When less time is spent dealing with the system, more focus can be placed on the quality of messages. “For example, this means improving the visual presentation; it’s easy to chain messages so that those who have engaged receive different communications compared to those who haven’t opened or reacted,” emphasizes Raunio. “Ease of these modifications is extremely important.”

Ease of modifications is also crucial from the perspective of the current partner ecosystem. “For instance, we’ve been in discussions with a car manufacturer about lifecycle marketing. In such cases, there would be messages triggered from the car manufacturer’s ecosystem, such as directly from vehicles that are increasingly equipped with internet connectivity. On our end, automation extracts these messages from the manufacturer’s system and approaches customers with the appropriate messages. We are the tactical customer service layer in the customer experience of these global brands,” Raunio explains. “Roger can help us integrate data coming from different sources and going in different directions as we strive to improve this service capability.”

Faster and More Agile in the Future 

”As the collaboration progresses, we have found the right way to work with Roger" says Raunio. 

The project followed a waterfall model initially. Now, we operate within an agile, continuous development framework that allows us to complete development tasks even faster. We use a 4-week sprint model and usually finish everything agreed upon at the start of the sprint. The goal is to have a mechanism in place to stay within the development budget and a guidance model to adjust focus when necessary."

This way, Roger’s ready-made CDM solution significantly speeds up and enhances the work in HubSpot integrations," says Roger’s Technology Director Terho Norja.
